VENUE EVENT MANAGER (Freelancer or Employee Status)

VO Europe, a member of VO Group, is a fast-growing agency delivering high-quality communication and content services to European institutions. Our ambition is to reduce the communication gap between European citizens and their institutions. In the framework of a Visit.Brussels project that we are leading with our sister company VO Citizen, we are looking for a Venue Event Manager.

Visit.Brussels is the Brussels-Capital Region’s tourism promotion and communications agency. The agency is involved in the promotion of tourism, culture and events, as well as the creation of events and is committed to the quality of the reception of its visitors.

 

Responsibilities:

The Venue Event Manager is responsible for the day-to-day operations of a new venue in the heart of the European Quarter, located at Avenue d’Auderghem 63. They will be tasked with ensuring that everything runs smoothly and providing a positive experience to visitors at the venue.

 

Key tasks:

  • Help put the new venue on the map as the Visit.Brussels gateway for international and European Associations.
  • Become a real ambassador for the Auderghem 63 event location, its services, and the network of partners it represents.
  • Plan and manage events from start to finish, including programme support:
    • design event layout
    • hiring support staff
    • drafting and managing a budget for all anticipated costs
    • facilitate the contract and payment follow-up.
  • Manage the venue’s event calendar.
  • Report on the operational management to all relevant staff members and partners.
  • Coordinate with catering and other event providers to arrange food and beverage delivery, as well as for all non-standard event requests (AV/technical/cleaning/security/etc.).
  • Ensure that the venue and related logistics are prepared for all events (i.e. event space set-up).
  • Monitor the event and handle any last-minute/troubleshooting issues that arise.
  • Work towards overall KPIs to be achieved.

 

Profile (required skills & knowledge):

  • Outgoing personality with a can-do attitude
  • At least bilingual (English and Dutch/French), any other language is an asset
  • Minimum of 5 years experience in the Brussels-European/international environment
  • Be proactive
  • Excellent interpersonal skills and able to work as part of a multidisciplinary and multicultural team
  • Able to work at the venue every weekday.
